Board of Trustees Meeting
Colfax Branch
September 20, 2011

 

Present: Becky Dickerson, Teresa Myott, John Aune, Bob Bates, Jon Kehne, Kristie Kirkpatrick and Peggy Bryan.

Becky Dickerson, board chair, called the meeting to order at 4:02 p.m. She asked for additions or modifications; there were none. The minutes of the previous meeting were reviewed. John Aune made a motion to accept the minutes, Bob Bates seconded and the motion carried.

Peggy presented the financial reports through August 31, 2011. She presented payment voucher resolution #17-11 totaling $144,735.86. Bob Bates motioned to approve the resolution and John Aune seconded. The motion carried.

Kristie presented the circulation reports for July and August, noting overall circulation was up 10% in July and very slightly down in August. Albion, LaCrosse, Uniontown and Colfax saw increased circulation for both months. Kudos to all branch managers and Colfax for another successful year of Summer Reading. Also, congratulations to Colton, Malden, St. John, Tekoa and Colfax as they saw an increased numbers of children signing up while St. John continues to experience huge completion rates.

Kristie also pointed out that database usage on Ask Us 24/7 and Birds of NA are continually low, but neither of these is a significant cost to the library as one is nearly free and the other donated. Rural Heritage continues to have high usage. She discussed that the library is considering adding a foreign language database and we are looking at options in the budget.

CONTINUED BUSINESS: Kristie reported that she and Peggy will meet with USDA and the Town of Endicott tomorrow to discuss the implementation of the project. She and Wanda attended the Inland Northwest Community Foundation event at the Davenport recently, honoring award winners and donors.

Kristie discussed the LaCrosse Market project, giving everyone a copy of the updated floor plan from Architect Jamie Lemon. Peggy reported that the town is proceeding with the project, as funding has been secured.

NEW BUSINESS: Kristie expressed appreciation to those who worked the fair booth and thanked John and Jane Aune for volunteering once again. The booth featured Rural Heritage photos and won a 1st place ribbon.

Kristie thanked Teresa, Bob, John and Jon for attending the grand opening of the Forever Free Lincoln Exhibit. She discussed upcoming events connected with the exhibit. The Journey Stories Exhibit is coming to St. John on October 22 and Becky invited the Board to attend a special event to celebrate its opening on Friday, October 21.

Sequel in the Stacks fundraising event will be on Sunday, October 23 at 5:00 p.m. John Aune will be honored, along with the Pittman’s and Norma McGregor. Kristie shared preliminary examples of the memorials of Norma and the Pittman’s, to be unveiled at the Sequel in the Stacks event.

Kristie regretfully announced that Erica Willson resigned her duties as Teen and WORC Coordinator but will be available for special projects. Chelsea Leachman, Uniontown Branch Manager will step into the Teen Librarian role and options for WORC are being explored.

Kristie thanked Jill Cocking for her efforts with the Forever Free Lincoln Exhibit. The Board signed a letter of commendation to Jill for her commitment in overseeing this project.

Kristie also commended the Friends of WCL for their generous support over the years, including their recent bookdrop purchase. A thank you letter to the Friends was signed by board members.

Kristie discussed library prize drawings as related to staff members and family. After a discussion, it was decided that family members could win if the prize value were small and the drawings were don in public. Employees and their families will still be excluded in countywide drawings or when values that are relatively large. Kristie will work on a policy resolution for the next board meeting.

Peggy presented several budgets to the board: 2011 Budget Revision 1, 2011 Debt Service, 2011 Capital Reserve, 2011 Construction Fund, 2012 Budget and 2012 Debt Service. After a discussion, John Aune made a motion to accept Resolutions #11-11, #12-11, #13-11, #14-11, #15-11 and #16-11. Jon Kehne seconded and the motion passed.

Kristie announced Webb’s Slough was honored as Library Supporter of the Month in August. They donated tickets for free admission to the slough for Teen Summer Reading. Dani Klaveano will be honored next for her gardening contributions to the outdoor planters and flowerbeds in Colfax.

Kristie will attend a meeting at Neill Public Library on public records and opening meetings act on Wednesday, October 12 from 6-8. Board members are invited to attend as well.

Kristie announced the Chamber Luncheon at the library on October 18 at noon. The Noanet Broadband project will be the topic with the benefits for Whitman County Library users also being discussed. Board members are welcome to attend and need to reserve their lunch with Kristie.

The Voter Forum will be on October 18 at 7 p.m. The League of Women Voters sponsors the forum each year. Candidates who are listed in the ballot are invited to participate

CJ Box’s Everybody Reads book, Blue Heaven will be featured at a box lunch on Tuesday, November 8 at noon. Call Kristie to reserve your box lunch.

There will be no meeting in October. The next meeting will be November 15, 2011 at 4 p.m. in the Colfax Library. With no further business, the meeting was adjourned at 5:15.
