Board of Trustees Meeting
Colfax Branch
March 20, 2012

 

Present: Teresa Myott, Jon Kehne, Bob Bates, Kristie Kirkpatrick, Clancy Pool and Peggy Bryan.

Jon Kehne, board chair, called the meeting to order at 4:06 p.m. Jon asked for additions or modifications; there were none.

The minutes of the previous meeting were reviewed. Bob Bates made a motion to accept the minutes, Teresa Myott seconded and the motion carried.

Peggy presented the financial reports through February 29, 2012. She presented payment voucher resolution #03-12 totaling $64,378.78. Teresa Myott motioned to approve the resolution and Bob Bates seconded and the motion carried.

Kristie presented the circulation reports for February. Overall traditional circulation was down by 1186; however, Uniontown and St. John had significant increases in circulation and the digital uses and program attendance bring usage to a comfortable level. She noted that attendance at kids programs increased by 300 and volunteer hours rose by 180 and database activity was up 6600 from last year.

Chuck Petras joined the meeting at 4:13.

Clancy reviewed the outreach and offsite programming statistics along with the Facebook statistics. Kristie praised her work in this area.

Clancy discussed the recent survey on the 50+ Grant. WSU Marketing students conducted a county-wide survey with 321 returned (147 print and 174 online.) Those returning surveys included 52 seniors, 134 boomers, 65 Gen X, 46 Millenials and 9 Gen Z. Early results indicate that people like the library, even if they are not a library user. Phone interviews and a round table discussion to gather more information will be concluded this week. The students will present a final report and presentation on April 24th from 9:10-10:25 at WSU and Board members were encouraged to RSVP to Kristie if they are able to attend.

CONTINUED BUSINESS:

Kristie discussed the Town of Lamont’s decision to survey residents on annexing to the library district. Lamont officials will likely put annexation to the library district on the November 2012 ballot, pending the results of the survey. Completing the new building that will house the library will be one of the challenges the town is facing.

Peggy shared a photo of the LaCrosse storefront. She noted that project is progressing and anticipates that new windows will be installed soon.

NEW BUSINESS:

Kristie announced that the supporter of the month for April will be presented at the Friends Appreciation Luncheon on April 10, with the supporter to be announced at that time. The LaCrosse Community Pride will be the supporter of the month for May. She also encouraged Board members to attend the luncheon if they are able.

Kristie presented a branch cost spreadsheet, based on 2011 financials. The analysis included populations, percent of circulation, support salaries, branch salaries, computer/technical support, communications/travel, books/supplies/miscellaneous and fees or taxes paid. She thanked Peggy for compiling the figures for the spreadsheet. A brief discussion followed with other information that could be included. Peggy will update the spreadsheet for the next meeting.

Kristie encouraged board members to use the library on-line calendar to view all upcoming events. She noted that Jim Stinson is appearing in Tekoa and Palouse this week and Colfax and St. John next week. She thanked Jon for attending the Chamber Luncheon today. She announced that she and Don Appel are on a panel at a Rural Telecommunications Symposium at WSU on April 4th. The library is also attending a workshop in Alexandria, VA in April related the WORC program the library participated in earlier this year.

Kristie shared a recent article, “Shhhh! Don’t Tell Them It’s Science!” by Chelsea Leachman in ALKI, which is a WLA publication. Chelsea is the teen library and the Uniontown Branch Manager. She commended Chelsea for all of her efforts.

The Teen Dance was held on Friday, March 16 at the fairgrounds. 160 teens attended the dance and proceeds were over $800. Kristie thanks Sheri and Chelsea for efforts on this.

Kristie discussed incidents of people falling down the steps into the meeting room. The library plans to install a black rubber strip at the edge of the steps and is investigating the fabrication and installation of a rail down the middle of the steps.

There were some questions about the scheduling of the May meeting so Kristie requested that Board members notify her if they are available for May 15 at 4 p.m.

The next meeting will be April 17, 2012 at 4:00 p.m. in the Colfax Library. With no further business, the meeting was adjourned at 5:00.
